ESTIMATING ADMINISTRATIVE ASSISTANT

Our Need:  JP Cullen is seeking an Administrative Assistant with a can-do attitude to join our Milwaukee and Madison Offices to support the Estimating Team.  This is an important position with great responsibility for helping JP Cullen procure new construction projects and you will have opportunity for growth.

Primary responsibilities include:

  • Creating Excel spreadsheets for bid forms, data and comparisons
  • Updating data and setting up new estimates in multiple estimating software programs
  • Assisting in printing and photo management
  • Contacting sub-contractors via phone and email to confirm bids
  • Preparing presentations and reports using Powerpoint and other programs
  • Assisting in acquiring responses from the owner, architect, suppliers, or subcontractors as directed by the project team
  • Writing, updating, and submitting contracts and sub-contract agreements
  • Establishing and maintaining databases for project records and correspondence
  • Posting plans and invitations to bid
  • Filing and scanning
  • Publishing meeting agendas and minutes
  • Arranging meeting and travel plans
  • Additional duties as directed by Estimating Manager, Project Managers and/or Division Manager

Qualifications Desired:

  • Proficiency in Microsoft Office (Excel, Word, Powerpoint, and Outlook etc) and ability to quickly learn other software programs.
  • Must be customer service focused and have excellent verbal and communication skills
  • Ideal candidate is organized, detail oriented, independent, assertive, able to multi-task, manages time effectively, and works well under pressure and/or deadlines
  • No need for understanding of construction industry terminology and procedures. We can teach those if you are willing to learn.
  • High School Diploma is required and at least one year of office experience is required
