Job Overview:
JP Cullen is searching for a Project Assistant who is proactive, resourceful, detail oriented, and can multi-task. The Project Assistant will support project managers and teams in the successful execution of construction projects. This role involves administrative tasks, coordination, and communication to ensure projects are completed on time, within budget, and to the highest standards. Our ideal candidate is professional and diplomatic in dealing with internal and external contacts and maintains a positive work atmosphere.
Major responsibilities include:
- Support the project manager & superintendent on the following activities and more:
- Enter and submit time sheets
- Verify Time & Materials from field to payroll
- Gather and send new employee information to payroll
- Maintain and distribute trend charts, Plangrid reports, Operator Inspection sheets, concrete and soil testing reports, daily end of shift reports, etc.
- Schedule jobsite visits and Operations, pre-install, client, architect/engineer, and sub-contractor meetings
- Take jobsite photos on a weekly basis & distribute accordingly
- Coordinate safety lunches
- Print job information for field personnel and foremen as needed
- Update safety sign
- Update and write sub-contractor agreements
- Order supplies for the field (lumber, hardware, etc.)
- Send Yard Orders and Tool transfers to the Yard
- Assist in the RFI process, submittal, Change Order, and closeout process
- Update blueprints & contract documents when new documents are produced by the design team
- Distribute varieties of documents (letters, reports, memos, meeting minutes etc.)
- Maintain clean office environment and buy supplies as needed
- Maintain electronic & physical files & record documents
- Other office administrative tasks as needed
Position Background Requirements:
- Two years associates degree in a Business or Administrative focus OR High school diploma or equivalent with one to two years of Business or Administrative training or equivalent experience
- Be customer service focused and have excellent communication and interpersonal skills
- Proficiency in Microsoft Office programs
